Inventory
Products, the suppliers you buy them from, every stock movement and what is running low.
The everyday tasks of Inventory, a step at a time. Each step names the table, form, query, report or print template to open. Every table has a form of the same name under Forms.
1. Add a supplier and a product
- Open the Suppliers form, press New Record, type the Name, Contact, E-mail and Phone, and press Add Record.
- Open the Products form and press New Record. Type the Name, an SKU and a Category, and choose the supplier in the Supplier list.
- Type the Unit Price, the Units in Stock you have now and a Reorder Level that suits how quickly it sells, then press Add Record.
2. Book in a delivery
- Open the Stock Movements form and press New Record.
- Choose the product in Product, type the day in When and the number received in Quantity (24 for twenty-four). Type Delivery in Note and press Add Record.
- Open the Products form, move to the same product and add the same number to Units in Stock.
3. Record goods going out
- Open the Stock Movements form, press New Record and choose the Product.
- Type the day in When and the number with a minus in Quantity (-2 for two sold). Type Sold or Damaged in Note and press Add Record.
- On the Products form, take the same number off Units in Stock.
4. See what to reorder
- Run the query Low stock from the Queries list.
- Each line shows the product, how many are left, its reorder level, the supplier and the supplier's Phone, ready to call.
- To order sooner or later, open the query's design and change the 10 in the criteria under Units in Stock.
5. Print a stock sheet
- Open the report Products by supplier from the Reports list.
- It lists each supplier's products with the units in stock and a total for each supplier.
- Press Print to take round the shelves for a stock count, or Save as PDF.
6. Put the stock right after a count
- Count the shelf. If it differs from Units in Stock, open the Stock Movements form and add a movement for the difference, above or below nought, with Stock count in Note.
- Then type the counted number in Units in Stock on the Products form.
- Run the query Low stock afterwards: the count may show something lower than you thought.
